A respectful rent-collection follow-up template
An adaptable pre- and post-due communication cadence, including what to record and when to move from reminder to policy-based escalation.

Before using this template, align it with the lease, company policy, and applicable requirements, and respect the customer’s consent and preferred channel. Use accurate data, identify the sender, and provide a reply path. Never send sensitive financial details through an unverified channel or automate away genuine disputes.
Seven days before due — “Hello [name], this is a reminder that lease payment [reference] for [amount] is due on [date]. You can review details through [secure channel]. If payment has been made or you need help, please let us know. Thank you, [company].” Record send time, channel, and delivery state.
On the due date, send a short confirmation without assuming delinquency. After three days, if payment is not visible, ask whether there is a payment issue or a dispute to review. Record the response precisely: promise date, dispute, unreachable, or assistance requested, then set the next action.
After seven days, or according to policy, send a calm summary of the amount, reference, contact attempts, next step, and deadline. If there is a dispute, stop generic reminders and route it to the right owner. If there is a promise to pay, schedule follow-up on that date and keep the case open.
Use fixed follow-up fields: person reached, outcome, agreed amount, promise date, owner, next action, and due date. Review missed promises and cases without a next step each week. A good record prevents duplicate messages and gives the customer a more consistent experience.
