Property data migration readiness checklist
Acceptance questions for source completeness, cleanup, reconciliation, access, and rollback before moving operations data to a new platform.

Sources and ownership — Is there an approved source for buildings, units, customers, leases, payments, and documents? Is a business owner assigned to resolve conflicts? Have old file versions been frozen and the final version clearly named and dated?
Quality and identity — Does every record have a stable identifier? Are phone, email, and date formats consistent? Have duplicates and missing values been addressed? Is combined data separated and every lease linked to the right unit and customer? Put unresolved cases in an exception log, not a guess.
Scope and transformation — Is every old column mapped to a new field? Has the team agreed what will not move and why? Did the pilot include exceptional cases? Keep a report of transformation errors, rejected records, and how each was handled.
Reconciliation and acceptance — Do building, unit, and lease counts match? Do financial totals and balances match at the cut-off date? Do attachments open? Can a user in each role complete a full day-one scenario? The data owner should sign acceptance before launch.
Launch and rollback — Are the cut-off time, decision owner, support channel, and restorable backup confirmed? Does the team know where to record transactions during the transition? After launch, review exceptions daily and define when rollback is no longer needed and the old system can be safely archived.
