The hypothetical starting point — requests arrive by phone and chat, and more than one teammate records the same fault. “Urgent” depends on the sender, work is not always connected to an asset or warranty, and closure confirms a visit without explaining the repair or cost.

The proposed design — one intake path asks for location, asset, impact, and evidence, followed by a priority matrix based on safety, service, and potential damage. An accepted request becomes a work order with an owner, due date, checklist, estimate, and approval where required.

Closure and learning — work does not close until the action, time, materials, cost, and acceptance evidence are captured. The record connects to the asset, supplier, and warranty, bringing repeat faults, reopened work, and missed service targets into one weekly review.

How to verify — before implementation, measure time to locate a request, records tied to a known asset, reopened work, and requests outside target. After launch, monitor the trend, documentation quality, and coordination effort. Success must be demonstrated with your team’s evidence, not a generic number placed in marketing copy.
